Hiring on ShiftPRO

Traditional agencies typically charge 15-20% per hour worked by the contracted worker, but we only charge 3%. If we take an 8-hour shift paid at £10 an hour, the calculations of cost are as follows:

It is important to look at the previous experience and ratings of the applicants when making a decision. These can both be found by tapping their profile. This information will allow you to assess how suitable a worker is for your current shift. Many candidates will not have any ratings at all, but don’t let that discourage you. This will become less and less common as you, and fellow employers, rate them after each shift.

Like the worker from a previous shift or know that someone who is reliable and available on short notice? You can offer them a shift directly through the app. Simply go to their profile and make them an offer on one of your open shifts. This function is handy if nobody applies for the role, as maybe they haven’t seen the shift yet.

We cannot legally disclose any personal information like this, however all candidates on ShiftPRO must complete a compliance check before being able to complete a shift.

Simply tap on their profile to reveal their key information, job titles and summarised CV. If you want to find out more, you can also message them directly through the app.

This feature allows you to add candidates to your favourites list so they can be easily found again. We suggest adding people that you enjoyed working with and are reliable, but feel free to be liberal with whomever you add – anyone in your favourites list will not know they are in it.

You will be charged after the shift is completed and the timesheet is approved. We use Stripe to take these payments by direct debit and then use Paycircle to generate payslips and pay the employees.

Everyone who works in the UK is entitled to earn holiday pay. The national rate is 12.07% for every hour someone works. This is paid on a weekly basis when you employ them through ShiftPRO.

National insurance is taken at a flat rate of 4%, whilst the pension accrues at [3.3%].

You will be asked for payment details when making your profile and cannot post a shift until it is fulfilled. If these details change, update them as soon as possible.

There are no charges for posting a shift, the payment comes out once the shift is completed.

Paycircle handles all payslips and invoices, so expect to be emailed after each transaction. Employees can see their payslips online through the Paycircle website.

If someone cancels, the shift will automatically be reposted. You will always be notified of any changes to shifts on the app. If someone cancels with short notice, we advise contacting applicants directly so they can quickly respond to your offers. If the unlikely case of an absence occurs, mark them as absent on the timesheet to help other employers understand their reliability.

You can cancel a shift at any time. However, if you have already accepted an applicant, they may require an explanation to avoid any issues or confusion.

Working through ShiftPRO

Gaining access to ShiftPRO requires a subscription of £2 a week, meaning you gain access to our network for less than the price of a cup of coffee. This fee includes all accountancy and introduces you to a multitude of different jobs in hospitality. You will also be entitled to discounts to various stores from participating partners. Since all shifts pay above the minimum living wage, it only takes 1 shift a week to make back the money of the subscription, when compared to other jobs.

Make sure that your profile is filled out to the best of your abilities, this includes both your public and private profiles. We then need Photo ID – if you upload a UK Passport, you do not need to upload the Right to Work documents for the next step. If necessary, upload relevant the Right to Work documents. This can include your working visa, right to remain, or any other official document that proves your right to work. You then provide us with your National Insurance number and bank details so we can pay your future wages. Finally, sign the contract that we send to your email and upload the signed form. If all these steps are followed, the compliance check should be passed.

A valid passport is the easiest and quickest way to ensure that you have the right to work in the UK. If you don’t have a valid passport, don’t fret! There are plenty of other ways to carry out the checks. Check How do I pass the compliance check, for more information.

If you completed your preferences and entered your job roles into your profile, suitable shifts will appear in the dashboard. Not seeing what you want? You can broaden the search parameters by including other relevant job titles in your profile, or by adjusting the filter settings on the dashboard to display all available shifts. Make sure to only apply to suitable shifts, as poor reviews will make it harder to find a shift in the future.

You can see everything relating to your shifts in the Shifts section. Shifts you applied for will appear in the under Applied Shifts and will move to the Agreed Shifts if the employer accepts your application. To respond to an offer, you can locate them inside the Direct Offers section and choose to either accept or reject the shift. Whilst unsuccessful applications and rejections disappear from your profile, you can find all completed shifts in the Shifts History section. Each shift can be viewed to see how much money you made, and the total will appear in your Wages once the timesheet is confirmed.

Open the Timesheet section in the app and enter the shift start time, shift end time, break start time and break end time into their allocated spaces. The total payable hours will be calculated at the bottom. If there were no breaks, leave those sections blank.

Most issues will be brought up when the employer assesses the timesheet, but make sure that you are sending accurate information when submitting.

Just yourself and any form of ID, so the employer can verify that we sent you. Make sure to triple check the shift description for any specific uniform requirements or travel arrangements.

Approach a member of staff and introduce yourself. Explaining you are from ShiftPRO is an easy icebreaker, but make sure to make a good impression – if the shift goes well, you could be back there again! The member of staff will know where to take you.

Any contact information for the employer can be found in the shift details and employer profile. Most importantly, plan your journey and decide when you must leave to avoid travel delays. Bear in mind that during rush hour (7am-9:30am and 5pm-7:30pm) travelling will almost always take slightly longer.

Absences are serious. If you take the responsibility of the shift, you are expected to turn up and work it. If an employer reports you as absent from the shift, your reliability rating will decrease and could negatively impact your future employability. ShiftPRO reserves the right to suspend workers for this at any time.

Taken on more than you can handle? Cancel the shift through the Agreed Shifts section. Cancelling a shift with less than 24 hours until the start of the shift will be treated the same as an absence and will affect your reliability rating significantly. Late cancellations should only happen in exceptional and unavoidable circumstances.

Cancel all shifts that align with the days of your self-isolation. If there are shifts that are less than 24 hours until their start, be prepared to provide a positive PCR test to avoid penalisation. As you organise your own shifts, take as much time over the required 10 days as you would like, but to schedule another shift, be prepared to present a negative lateral flow test on your first shift back.

A payment is taken from the employer after the shift is completed and the timesheet is approved. Paycircle then generates a payslip and you are paid weekly. You will be paid directly into the back account of your choosing. Make sure to update your payment details if there are any changes, otherwise we won’t be able to pay you!

If you don’t and won’t earn over the tax threshold of £12,570, you can contact HMRC with your NI and the tax code from your most recent payslip to make amends. If you were taxed incorrectly, you can expect the money in your next payslip, along with a corresponding invoice.
